A checklist for collecting monthly invoices

A folder full of PDFs is only useful if you know what belongs in it and what is still missing.

This is a document-collection workflow. Your bookkeeper or accountant decides how the documents should be treated.

1. Make the expected list first

Start with the vendor names and billing periods you expect. Use your own subscription list or a statement you have already exported; invoice collection does not require giving an agent access to your bank.

For each item, record the vendor, period, expected source and status. Useful statuses are: not checked, collected, unavailable, blocked by sign-in, and needs your review.

2. Give a narrow instruction

Collect the September invoices from the three portals on this list. Download the original documents. Do not change subscriptions, send messages, submit forms with financial consequences or make payments. Stop for sign-in checks. Return a manifest and a separate list of anything missing.

Keep credentials out of that instruction. Use the product’s protected sign-in or takeover flow, and give access only to the sites needed for this job.

3. Preserve the original

Keep the original downloaded file. Use a separate manifest for source links, collection dates and review notes. If you rename a copy, retain a way to trace it back to the original.

Check the file opens and contains the expected vendor, date and invoice number. An HTML error page saved with a PDF extension is not an invoice. Two files with different names can still be the same document.

4. Make gaps explicit

Compare the returned manifest with the expected list. An invoice that has not been issued, an expired login and a download failure need different next steps. Keep the reason beside each missing item instead of turning every gap into another blind retry.

If a download or portal action has an unclear result, check the destination before repeating it. Avoid creating duplicate exports or changing account settings just to make a task appear complete.

5. Review before the next step

Open a sample of the originals and every flagged item. Hand over the folder, manifest and missing-item list together. Keep accounting treatment, filing and payment outside the collection job unless you have separately agreed and verified that workflow.

For a first trial, use a few vendors and one period. Record your active time and what needed help. Repeat that small job successfully before expanding the scope or adding a schedule.
